Step by step

  1. 1

    Prepare a focused file

Use readable text and clear headings. Remove outdated versions, duplicate paragraphs and personal information the assistant does not need. A scanned image may need text recognition before upload.

  2. 2

    Add the source

Open Knowledge and the add-source dialog. Choose a supported file type shown by the uploader and follow its current size limit. Give the source a recognisable name.

  3. 3

    Wait for processing

Uploading is not the same as being ready. Keep an eye on the processing status and any error message. Larger files can take longer.

  4. 4

    Check a specific fact

Ask a question about a distinctive paragraph. Inspect the answer’s sources and confirm the intended source was actually used.

  5. 5

    Expand gradually

Add the next document after the first one works. This makes conflicting or poorly extracted content easier to identify.

Give the assistant a reliable source of truth.

Knowledge is processed into searchable chunks and retrieved automatically for each question. You do not need to tune chunk relevance or context selection manually.

Source quality wins: delete duplicates, remove obsolete policy versions and separate unrelated topics. A source that says two conflicting things cannot produce a dependable answer.

  • Open the bot’s Knowledge tab: Choose Add source and select the source type that stays easiest to maintain.
  • Upload a file: Supported uploads include PDF, DOCX, CSV, TSV, Excel, XML, JSON, TXT and Markdown, up to 10 MB. Prefer clean, searchable source files with meaningful headings.
  • Add a URL or feed: Web pages, XML sitemaps and RSS/Atom feeds are supported. URL-based sources refresh daily, so use them for content that changes on your website.
  • Paste text for short, stable material: Use pasted text for concise FAQs, escalation notes or temporary guidance. Give it a recognisable name.
  • Share only when appropriate: Enable “Share with workspace” when one maintained source should be available to all current workspace bots.

Good to know

Prefer one current policy over several historical copies. Knowledge access does not automatically give an agent permission to change orders or customer records.

Check the result

Wait until processing is complete, then ask a question whose answer appears in the source and inspect the answer and citations.

Questions & troubleshooting

The source failed

Read the reported error, check the file type and size, and try a small text-based version. Do not repeatedly upload duplicates while the original is still processing.

The answer ignores a table

Rewrite important table relationships as explicit text and retest the exact question.
