Use shared knowledge across agents

Understand workspace-shared sources and avoid accidentally changing information several agents depend on.

Where to find itKnowledge → shared sources

Before you begin

Open the agent’s Knowledge tab. Use current, approved documents and remove unnecessary personal data before uploading.

Step by step

  1. 1

    Check the sharing indicator

Review whether a source belongs only to this agent or is marked as workspace shared. Sharing affects the scope of future edits.

  2. 2

    Use a suitable common source

Choose stable information that truly applies to the assigned agents, such as the same company contact details or general policy.

  3. 3

    Keep differences separate

Use agent-specific sources for different brands, languages or product rules rather than hiding contradictory variants in one shared document.

  4. 4

    Test every affected role

After updating shared material, test a representative question on each agent that relies on it.

Good to know

Shared knowledge remains scoped to the selected organisation. It is not a public library shared between unrelated workspaces.

Check the result

Wait until processing is complete, then ask a question whose answer appears in the source and inspect the answer and citations.

Questions & troubleshooting

One agent should use a different rule

Separate that agent’s specialised content and remove the conflicting shared applicability before testing again.
